Creating a USER account

Before creating a user account the applicable person needs to be registered in agro-info.net. To this person access will be granted.

Make sure the person is registered in agro-info.net with the correct email address. This email address will be used for communication purposes like notifications and sending (new) passwords.

In the person module it will be possible to assign more than one email address (e.g. private and work email address). When creating a user account the agency administrator needs to select the applicable email address which will be tied to agro-info.net.

Navigate to the user module

Navigate to the “users” under system (left side navigation) and click on “Add user”.

After clicking on “Add user” the following screen will appear in which the details of the authorisation can be filled in:

Username

The username will be a unique name for agro-info.net. A suggestion is to use the prefix of an email address (e.g. jansen@agri-agency.org will be “jansen”).

Person

Select the applicable person for which the user account is being created.

Primary email

Many persons will have more than one email address registered in agro-info.net. Here you can assign the email address that will be used by agro-info.net (e.g. the invitation email to access agro-info.net will be sent to this email address)

Role

Here you can assign the role a person has. This will mostly be “agency employee” .

PC role

Here the applicable role in the project committee van be set. This will allow the user to comment on proposed projects for central funding via AgriCord and receive notifications about the proposed projects.

Note: this feature will be only available for AgriCord in the future.

Active

To allow the user access to agro-info.net this checkbox needs to be checked.

Project module

Setting the status of a project to ‘Active’ and ‘Closed’. This can be used if certain users are allowed to ‘activate’ or ‘close’ projects.

Manually (un)locking budgets or expenditures allows only certain users to manually lock or unlock budgets and/or expenditures. Since setting a project to ‘Active’ already locks the budget this option is created to manually allow adjusting the budgets/expenditures and locking them afterwards.

Contract module **Agiterra/Acodea only**

Under this section the user can receive different authorisations, based on the roles which an agency employee has in his or her organisation. He/she can manually register payments in contracts and/or is allowed to delete contracts.

Registering payments in contracts allows the user to fill in the ‘payment’ fields when contracts between the agri-agency and farmers’ organisations or experts are applicable.

Advisory service module **Agriterra/Acodea only**

 

Under this header the user can receive authorisations to ‘manage’ the status of advisory services.

Role section **Agriterra/Acodea only**

When a person should appear in a drop down list since he/she is responsible for carrying out certain activities the checkbox needs to be activated.

Central funding

The user with this authorisation checked will be able to propose projects to the secretariat of AgriCord for an eligibility check (required for central funding). If this is unchecked the applicable user will not be able to send projects to the secretariat.

Finalise

After all authorisation have been set you can click “Save” and an email will be sent to the new user with his username and a link to set his/her password.
